3 AI Agents Running Inside Real Businesses Right Now (With Real Numbers)

Ruben Davoli · · 6 min read

An AI agent without a scoreboard is not a system. It is just a bet.

I built my own high ticket coaching company past $3 million. Today I help seven and eight figure coaching companies grow revenue and cut costs with AI.

In this post I am showing you three AI agents we built that are running right now inside real companies. Not demos. Not weekend projects. Real businesses with real numbers.

By the end you will know what each agent does, what it saved the business, and the three questions to ask before you build your own.

The step most businesses skip

Before I get into the agents, I need to say this clearly.

Most coaching, consulting, and service businesses skip one step before building AI agents.

They want to scale, free up time, and grow. But they are caught up in the AI race. They watch videos from people selling hype with no real results behind it.

Here is the step they skip: make the process work by hand first, then automate it.

If your team cannot do the job well by hand, AI will not fix it.

An example of this in action

The company from the first agent below is called MovesMethod. Before we built anything, they already knew what a great coaching call looked like. They had a checklist for it. Their team leaders were already scoring calls by hand, slow and costly, but they knew what good looked like.

We did not reinvent their process. We just adjusted it slightly and made it run on every single call.

Compare that to a request I get all the time. A business owner asks me to build an AI agent that calls their leads. I ask one question: does your team already book calls with that script today?

If the answer is no, we do not build it. Nobody knows yet what a good call sounds like for that business. The AI has nothing to learn from.

A human team needs to prove the process works first. Then AI takes the volume.

Agent 1: The QC Evaluator

This runs inside MovesMethod, an eight figure online fitness coaching company. Their coaches run about 100 coaching calls with clients every day. Above the coaches are team leaders whose job is to listen to calls and quality control the coaches. They spent whole days on calls and it still was not enough.

Here is how the agent works, step by step:

  1. A coach finishes a call and it gets recorded.
  2. The recording is turned into text.
  3. The system sorts the call by type from its title.
  4. The AI scores the call against the rubric for that call type.
  5. It tells the coach what was missing, with the exact line from the call.

This checks every single call. Right now it scores over 3,000 calls a month at less than 50 cents each.

The AI scores the work. It does not manage the coach directly. The human team still owns the human part. Every two weeks each coach gets a report, and the team leader coaches them from that report.

What it did for the business

Because every call now has a score, we built one more thing on top: a short brief on the client before a renewal call. That saves about 75 hours a month on renewal documents. And renewal revenue doubled.

Agent 2: The Mail Agent

This one works in the inbox. We built it for a healthcare advisory firm in the US that helps companies manage employee health benefits.

Every day their clients send emails with questions about plans, rules, and what to do next. A client email could wait about five hours for a first reply, and every reply was looked up and written by a person.

Here is how the mail agent works:

  1. A client email comes in.
  2. The AI reads it.
  3. It searches what the firm has learned from eight years of its own emails.
  4. It writes a draft reply and shows where each answer came from.
  5. A person checks the draft and the sources, fixes it if needed, and sends it.

The AI drafts the work. A person checks and decides.

Before, a client could wait about five hours for a response. Now a draft is ready in a couple of minutes. We expect to eventually automate the last step too, once we have enough data to be sure it is safe.

Agent 3: The Pre-Call Brief Agent

This one runs inside my own agency, BeaverMind, before every sales call.

When someone books a call with us, a message lands in our Slack. Then an agent does the research. It picks what to look up on their business, reads it, looks again, finds them on LinkedIn, and reads our past chats and emails with them. Then it writes a one page brief on that person before I join the call: who they are, what their business does, and their size.

We know a lot about the business before the call, without making the booking form longer for them. Adding more questions to the form would create friction. This way we skip that entirely.

Three questions before you build anything

You would never hire a person and never check their work. The same is true for an AI agent.

Before you build one, ask yourself:

  1. What already works in your business? Something that makes you money but takes too much time or costs too much. That is what you automate. If you do not have that, the AI agent has no reason to exist.
  2. What starts it? A call ends, an email comes in, someone books a call. That moment is the trigger. If nothing clear starts it, it is not ready for AI yet.
  3. Are you tracking the numbers? If not, start now before you build anything. Track hours, reply time, churn, revenue, before the agent and after. At MovesMethod the number that mattered was churn, and it went from 5% to 2%.

If the number does not move, it does not work. No matter who told you it would.

The bottom line

These are three AI agents running right now inside real businesses. If you run a coaching, consulting, or service business, you are probably losing money or hours somewhere. Most businesses are.

What you cannot see is which leak costs you the most. That is where the work starts, not with the AI agent itself, but with finding the process that already works and already matters.
