An agency owner swapped his VA appointment setters for an AI agent and cut a 3-5 hour daily task down to 15 minutes.
I sat down with Eduardo, who runs a lead generation agency with tens of clients. He came to us with a simple question. Could AI replace the VAs and appointment setters he was relying on to find leads for his clients.
The problem with VAs
Eduardo was paying appointment setters around $300 to $500 a month. VAs cost more once you factor in cuts and percentages.
But the real issue wasn't the cost. It was time.
The most important KPI for him was how much time a VA actually spent on the account.
If someone spent more time than they should have, he'd get frustrated. But there's only so much you can shortcut when a human is doing the work.
On top of that, VAs get sick. They have emergencies. Eduardo mentioned his VAs in the Philippines would occasionally have earthquakes disrupt their work. None of that happens with AI.
What the AI agent actually did
We built Eduardo an AI agent powered by Claude to handle the lead gen work his VAs were doing.
A task that used to take 3 to 5 hours a day got done in 15 minutes. That's how long Claude needed to reason through it.
The cost dropped too. Instead of an ongoing VA salary, he paid once for the build and then around $100 a month for Claude to run it.
He also pointed out that AI is more accurate with data and numbers than a person tends to be. No fatigue, no human error creeping in over a long shift.
Zero flags on LinkedIn
This was the part Eduardo wanted to make sure people heard.
Everyone assumes that automating LinkedIn outreach gets your account suspended. Eduardo received zero flags on his account. No warnings, no suspension.
The reason is that the system doesn't behave like a bot. There's a timer built between connection requests and messages, so it mimics the pacing of an actual person typing at a keyboard. LinkedIn's detection systems are built to catch patterns that look automated. If the behavior looks human, there's nothing to catch.
Why he thinks most "AI automation" advice online is noise
Eduardo didn't hold back here.
He said most people online claiming they can fully automate LinkedIn DMs with Claude don't actually know how to do it. He said if you ask them to walk through it, they can't.
His words: most of it is AI slop, posted for attention, not because it works.
That gap between what gets posted on LinkedIn for engagement and what's actually running behind the scenes in a real business is wide. Eduardo said working with us was the first time he saw what was genuinely possible with Claude and automation, rather than what gets hyped up for views.
What stood out to him about the process
A few things beyond the AI agent itself:
- The build came in faster than expected. He was told a week, it landed closer to five days.
- Communication was fast. Any issue he raised got answered quickly.
- He received an SOP he never even asked for, something he still uses.
- He felt the price was fair relative to what the broader market charges for similar work.
His advice to other lead gen agencies
Eduardo's take is that anyone running lead gen, especially with a mix of inbound and outreach, should think twice before hiring another VA.
He estimated outreach could realistically handle somewhere around 50 to 100% of inbound lead volume depending on channel limits, whether that's LinkedIn or cold email.
AI doesn't sleep. It runs on a loop, wakes itself up, performs its actions, and notifies him when something needs attention. He doesn't have to chase it the way he had to chase VAs.
For agency owners who are tired of retraining VAs every few months and dealing with turnover, his message was straightforward: this is worth looking into before hiring another person.
